We are aware that most small business owner will struggle to find out where they should start looking for potential customers online. With so much free and sometimes conflicting marketing information available, it can be hard to figure out what’s best for your business and where to start.

Our tool is by no means the ‘be-all and end-all’ but we will help you to discover how to do it and where to start.


Each business is unique so each business will want to use this tool slightly differently or have different goals, but here’s a complete beginners guide on how to get started. When you first arrive at the Opportunities dashboard it may look confusing as it is empty, so let me explain the features, what they are for and how to make them work for you.

The Opportunities Dashboard:

The dashboard gives you a clear overview of all your ongoing tasks and results. You’ll quickly see how many new opportunities you have each day, which ones you have already addressed and which ones need your attention.



Keywords & Phrases:


Keywords are one of the most important parts of the Opportunities tool. You’ll need to use the correct keywords and phrases to get the most out of HALR.

When entering keywords, think what your customer would search for to find your business. Most often they’ll be typing in a few words (a key phrase) to find a service or product online.

For example, if you are a Plumber in South London, they might search for:

  • Plumber in South London
  • Cheap South London Plumber
  • 24/7 Emergency Plumbers in South London
  • 24/7 emergency plumbing services in London
  • And so forth…

Try not to use just a single word to describe your business as this might return too broad search results.

You can also manage your keywords under “Manage Phrases” where you can:

  • Add more keywords
  • Delete keywords
  • Create keyword list
  • Group keywords together

You also can also add ‘Brand’ keywords, this is good for:

  • Monitoring your brand
  • Monitoring your reputation
  • Monitoring your competitors


Important Note: We automatically track all your keywords. (except brand keywords).

Of course there are more tools available online that help you discover related search terms, these are just 2 popular examples.


You don’t have to start with a lot of keywords or search terms. 5 – 10 should be more than enough to get you started. Add more keywords as you get a better understanding of how it works and as your business grows.

By default, we check the following social channels for your keywords and phrases.

Review Sites:



By default, we search the following review sites online:

  • Yellow Pages
  • Google
  • Yelp


To add a new/additional review site to monitor, use the ‘Custom URL’ feature and add the reviews sites URL. We then monitor that site too for your brand mentions.


Brand – Reputation:



Monitor, measure and manage your reputation online. Simply enter your brand keywords, those are keywords that relate your business name and/or your personal trading name. Only enter keywords that relate to your brand.

Customers will mention your brand name when leaving a review (business name, trading name, personal name…) and we’ll notify you whenever customers mentions your brand.

Keyword Rank Tracking:



Use this tool to check your position in the search engines for specific keywords to determine what is working, and what needs more work. By engaging on social media, blogs, forums and other online channels you’’’ automatically improve SEO and your keyword (business) visibility.

We’ll check daily what keywords ranks for which of your webpage in the search engine you choose (UK or USA)


How does the keyword position tool work?

This tool is scanning through search engine results for the keyword/phrase you entered to determine where your website or link is located. If we don’t find your keyword in the top 100 positions (10 pages deep) we’ll display a ‘Not in top 100’ message.


How to find your potential customers online using keywords and phrase monitoring;


To find out where your potential customers are online and where to interact with them, start by adding some keywords that describe your business.

Click on ‘Add New Keyword/Brand’ button on the bottom right of the dashboard.




Here you can add your keywords. You’ll also see an option to add ‘Brand Keywords’ – I’ll explain what that is for shortly, but for now let’s add your main business key phrases.

The easiest way is to start with the keywords your potential clients use to find you.



Let’s assume for a moment you own a local Vet Clinic in West London. So your customers might use the following keywords to search for your business:

  • Vet in West London
  • Veterinary Clinics‎ in West London
  • Petcare Clinics in West London
  • Veterinary Surgeries in London
  • London Vet Clinic
  • 24hr Veterinary Hospital
  • West London Vets‎
  • Affordable Vet Clinic
  • And so forth…


As soon as you have added your keyword we will search the web. By default, we search for your keyword on Google, Google Plus, Facebook, Twitter, LinkedIn & YouTube.

The results will show you where those keywords are mentioned online. We also highlight how many new opportunities we have found in each of your chosen channels each day.




What makes this tool unique, it that you can add your custom URL to the search.


Let’s say you know that there is a popular forum for your industry, or that there is a blog that has your target audience – or that there is a particular trade site that you know your potential customers visit often. Just enter their URL (under Custom URLs) and now you are monitoring those sites too for mentions of your services or products.

Each channel will update once every 24 hours and highlight any new mentions found. Select any channel to look at the results.

Now that you have discovered where your potential customers are online you can start engaging with them whenever you can. Be helpful and built a relationship with them first, before you position your service and products in front of them.

By engaging regularly with your potential customers you will build trust, built your brand and increase your online visibility too.


Listen to social media and find out what’s being said about your brand, service or product


In addition to monitoring your brand and reputation on local review sites, you can listen to social media too and monitor all conversations about your brand, services and products in your Opportunities Dashboard.

Simply click on any of the found mentions and conversations and engage with your prospects whenever appropriate. Remember to be helpful and built relationships first, and not make every reply a sales pitch.




Simply including a signature in your communications is often enough to gain the trust of people you are interacting with. Don’t sell to them, let them buy from you instead.

If you make use of this feature and engage with people online frequently you’ll soon discover which channel your potential customers are using.


Discover new opportunities daily to engage with potential new customers


When you have set up your keywords and phrase monitoring we’ll look for and update them every 24 hours. So each day we’ll display all new mentions and conversations in your dashboard.




For some small business there will be a lot of opportunities, that is why we have made it easy to manage your tasks. We’ve made it simple to mark any opportunity as ‘completed’, not applicable’ or ‘schedule’. You can also assign any opportunities to a team member or a freelancer.


If you don’t see any (or many) notifications, then you may want to re-visit your keywords and phrases. Maybe adding a few more keyword variations or changing them to include broader search terms could help in returning some results for you.

Keep an eye on your competitor by monitoring their keywords and mentions online


Want to spy on your competitors? The information you need is publicly available and freely accessible. We are all ‘nosey’ and want to know what our competitors are doing to get customers.so here is our opportunity to keep an eye on the competition.

Add your competitors brand name and keywords to start monitoring their marketing campaigns.

To find out what keywords your competitors are using simply look at their website source code;



Here is one example on how to do that:


Visit your competitor’s homepage. Then look at the source code. As a PC user, with Firefox & Chrome browsers you can right click and select ‘View Page Source’. Search (CTRL + F) for “keywords.” If the site has meta keywords, you should be able to find them with the tag meta name=”keywords”.



You can also add your competitor(s) website address (URL). If your competitor has a Blog add the full URL to the blog. HALR will start monitoring their blog posts, social shares and comments. Monitoring your competitor’s messages and ‘engagement’ gives you an overview of their marketing efforts and how you can improve upon them.

  1. Find two or three tweets on Twitter to retweet.
  2. Acknowledge a customer, a prospect or influencer and let them know you think their ‘work’ was great. We can all appreciate a pat on the back.

Assign Tasks (opportunities) to team members or freelancers


As briefly mentioned before you can assign any task or opportunity to a team member of a freelancer.

Schedule Opportunities (mark complete or delete)


Getting a lot of results can be overwhelming and confusing to many small business owners, especially to those to marketing their business online.

We’ve mentioned it before, but it’s worth repeating. To stay organised and to keep on top of all your task we’ve built in basic management tools.


As the title suggests, we have the following features:

  • COMPLETE: Once you have replied or engaged with an opportunity you can mark it as ‘Complete’ – this will move it to the Completed tasks list.
  • NOT APPLICABLE: We don’t always get it right- results that are incorrect or don’t apply to your business you can mark as ‘Not Applicable’
  • SCHEDULE: there will be tasks and opportunities that you will want to address at a later stage; simply select those opportunities and ‘Schedule’ them for later. This will move them to the Scheduled list. You can even move it to your Marketing calendar and set yourself a reminder when to complete that task.


You can also assign any opportunities to a team member or a freelancer. Simply add a team member or freelancer to your HALR account and they’ll have full access to your opportunities list. You are allowed up to 5 team members or freelancers with your standard HALR account.
